What a team licence actually changes
Folia is a desktop application: it opens, converts, redacts and signs documents on the machine it is installed on, and nothing is uploaded to be processed. For a team handling client files, case papers or anything under a confidentiality duty, that property is usually why the conversation starts — it removes a whole category of question about where documents go, because they do not go anywhere.
A team licence does not change what the software does. It changes how it is bought, activated and administered: one agreement instead of forty card payments, seats that can move between machines as people join and leave, and an activation path that works on computers which are not allowed to reach the internet.
Volume licensing that scales with seats
One invoice, one renewal date and one agreement covering every installation, priced per computer rather than per person. Seats are managed from a single account dashboard, so a machine that is retired or reimaged can have its seat released and reassigned without raising a support ticket.
Offline and air-gapped activation
A normal installation activates by contacting the licence service once. On a machine with no route to the internet — a secure review room, a segregated network, a laptop deliberately kept off — that is not possible, so activation is completed from a signed licence file instead. The signature is verified on the machine itself, so nothing outbound is needed at activation or afterwards.
Deployment help and onboarding
Beyond a handful of machines, someone has to decide how the installer is distributed, how activation is applied, and what the first week looks like for the people who will use it. We work that through with whoever owns it on your side, rather than sending a download link and wishing you luck.
Priority support
A named route to a person rather than a shared queue. In practice the questions that matter to teams are about specific documents that did not convert the way they expected — so it helps that you can send the file, or a description of it, to someone who can look at what the engine did with it.
Before you write
How many seats before it is worth asking?
There is no minimum that makes the conversation worthwhile, but below about five machines the ordinary per-computer licence is usually simpler and cheaper for you. Above that, the administration is the thing you are actually buying.
What do you need in order to quote?
Seats are the only variable that matters, so that is the one thing to include. Anything you add about how the machines are managed, and whether they can reach the internet, only makes the first reply more useful.
Can we evaluate it first?
The online version at tools.foliadocs.com is free and needs no account, so the fastest honest evaluation is to put your own difficult documents through it and see what comes back. It handles the same conversions the desktop version does, so the output there is a fair guide to what your team would get.
